Quick answer. ECCTIS (formerly UK NARIC) may contact the awarding institution directly to confirm a qualification, rather than assessing documents you supply. If ECCTIS has emailed Rajiv Gandhi University of Health Sciences about your degree, the step everyone is waiting on sits with the university, not with you. Three different parties, three different roles

Most of the confusion in this process comes from blurring these together. They are separate, and only one of them is us.

1. What ECCTIS requests

ECCTIS assesses overseas qualifications for UK purposes — statements of comparability, professional routes and visa applications that require a recognised assessment. As part of that, it may write to the awarding institution to confirm that a named person holds a named qualification. The request goes from ECCTIS to the university. It is generated on their timetable, not yours, and the wording of what they ask varies by case. Reference: ecctis.com.

ECCTIS decides what satisfies it and when its assessment is complete. We do not guarantee an ECCTIS completion time, because we have no influence over it.

2. What RGUHS does

RGUHS is the awarding institution and the only party that can confirm its own records. The university publishes no service level, no response time and no documented procedure for handling third-party verification emails, so any promise about how quickly it will reply would be invented. What RGUHS does publish is a route for verification and attestation of a marks card or degree certificate, on its own prescribed form, initiated by a requisition letter from the candidate, at a published charge of Rs. 1,000 for each set. We do not guarantee that RGUHS will respond within any particular period. What we can do is make sure the request is in front of the right office, complete, and followed up.

3. What FACTS can assist with

Our role is coordination and follow-up on the university side. In practice that means helping you work out exactly what ECCTIS has asked for and from whom; identifying the RGUHS office the request belongs with; preparing any application or supporting document the university requires from you; attending the university in person to follow the file; and keeping you informed at each step.

Two things we will not do, and you should be wary of anyone who says otherwise. We do not send the verification response ourselves — a confirmation is only worth anything if it comes from the university, and we would not be able to provide it if we tried. And we never represent ourselves as the university to ECCTIS or to anyone else. What to send us to get started

• Your ECCTIS reference number, and the email or portal message showing what was requested.
• The date the request was raised, if you know it.
• All year or semester marks cards.
• Degree certificate, or provisional certificate if the degree has not yet been conferred.
• Government photo identification.
• A signed authorisation where FACTS approaches the university on your behalf.

Scans are enough. You do not need to send originals, and you do not need to be in India.

What commonly holds an ECCTIS case up

• A name mismatch between your ECCTIS application and the university record — a middle name, an initial, a changed surname.
• An incomplete request. Verification queries that do not carry enough detail to identify a record take longer to resolve.
• Older or pre-digitisation records, which can need a manual check against physical registers.
• Uncertainty about which office a query belongs with, so it sits unactioned.
• Waiting on the applicant. Where the university needs something from you directly, nothing moves until it arrives.
