Over the last few months FACTS has seen a sharp rise in requests from dentists, doctors and nurses who studied and registered in Karnataka and now need a Good Standing Certificate or registration verification sent abroad, or need their council registration renewed first. The most common case is a dentist applying to the National Dental Examining Board of Canada (NDEB) who needs three things at once: the Good Standing Certificate, the official transcript and a Medium of Instruction letter.
This guide explains what the certificate is, who issues it in Karnataka, what NDEB and other authorities expect, where applicants usually get stuck, and how FACTS gets it done for you, in most cases in under 5 working days.
What is a Good Standing Certificate?
A Good Standing Certificate (also called a Certificate of Good Standing, Letter of Good Standing, Statement of Good Standing or Certificate of Current Professional Status) is an official letter from the council where you are registered. It confirms that you are on the council's register, your registration is valid, and there is no disciplinary action or restriction against you.
Foreign licensing boards, examining bodies, universities and hospitals ask for it because it is the only independent proof that you are a registered professional in good standing in India. Most of them will accept it only if it comes directly from the council, not from you.
Which Karnataka council issues your certificate?
It depends on your profession. Your certificate always comes from the council where you hold your registration.
| Profession | Issuing council | Points to note |
|---|---|---|
| Dentists (BDS, MDS) | Karnataka State Dental Council (KSDC) Official site: ksdc.in | Registration must be renewed and up to date. KSDC issues good standing only to dentists on its register. |
| Doctors (MBBS, MD, MS) | Karnataka Medical Council (KMC) Official site: karnatakamedicalcouncil.com | Depending on the destination, the authority may want the certificate from KMC or from the National Medical Commission on the state council's recommendation. We confirm which one before starting. |
| Nurses (GNM, B.Sc, M.Sc Nursing) | Karnataka State Nursing Council (KSNC) Official site: ksnc.karnataka.gov.in | Separate requests exist for good standing and for foreign verification forms. KSNC may ask for a short video verification with the registered nurse. |
The names above are the councils' official names as shown on their own websites. People often search for them as "Karnataka Dental Council", "Karnataka State Medical Council" or "Karnataka Nursing Council"; these all refer to the same three councils. FACTS is an independent service provider and is not part of any council.
If you are registered in more than one state, for example in Karnataka and later in another state, an authority may ask for good standing from every council you were registered with. Tell us all your registrations at the start so nothing is missed.
Council services FACTS covers
Our university pages already cover transcripts, degree verification and MOI letters. For the three Karnataka councils, FACTS covers the following:
| Service | Karnataka State Dental Council | Karnataka Medical Council | Karnataka State Nursing Council |
|---|---|---|---|
| Good Standing Certificate | Yes | Yes | Yes |
| Registration verification (foreign authority's form or letter) | Yes | Yes | Yes (international verification) |
| Registration renewal | Yes (annual renewal) | Yes (renewal every 5 years) | Yes |
| Restoration of lapsed registration | Yes | Yes | Yes |
| No Objection Certificate (NOC) for another state | Yes | Yes | Yes |
| Direct dispatch to NDEB, regulators, universities, hospitals | Yes | Yes | Yes |
Good Standing Certificate and verification
The council confirms that you are registered and in good standing and sends it directly to the authority. This is the service that usually takes under 5 working days with FACTS.
Registration renewal
A council issues good standing only to practitioners whose registration is current. If your registration has lapsed while you were abroad, we renew or restore it first. The Karnataka State Dental Council requires annual renewal, and the Karnataka Medical Council requires renewal every 5 years. Some steps need the practitioner in person, by appointment or by video verification. We tell you at the start if your case needs this, and confirm the renewal timeline separately.
Registered with another council, such as a pharmacy council or a council in another state? Ask us; we can tell you quickly whether we can help.
Sending documents to NDEB (Canada)
Most of our recent requests come from Karnataka-trained dentists applying through the NDEB Equivalency Process. NDEB's published requirements include:
- Statement of Good Standing, submitted by the licensing body (in Karnataka, the KSDC), not by you.
- Official Academic Record (transcript) and the Confirmation of Degree Form, sent directly by the university.
- Notarized colour copies of your degree certificate and internship completion certificate.
- Certified translations of any document not in English or French.
NDEB accepts documents emailed by a university or regulator only from an official, traceable email account (not Gmail or other generic addresses), and asks for your NDEB identification number in the subject line. FACTS makes sure the council and the university send everything in a way NDEB will accept, with your NDEB ID quoted.
Always check your own NDEB online account for the current list, because requirements are updated from time to time. We work from the list in your account.
Medium of Instruction letter
Many dentists, doctors and nurses are also asked for a Medium of Instruction (MOI) letter, which confirms that the course was taught in English. FACTS can obtain it from RGUHS or your university together with your transcript. Read more in our Medium of Instruction letter guide.
Other places the certificate is sent
Apart from NDEB, FACTS can arrange good standing and registration verifications for:
Licensing bodies
Dental, medical and nursing regulators in Canada, the UK, Ireland, Australia, New Zealand, the USA and Singapore.
Gulf health authorities
Licensing in the UAE, Saudi Arabia, Qatar, Oman, Kuwait and Bahrain, often through their primary source verification agencies.
Universities and hospitals
Foreign universities for MDS, MPH, residency or nursing programmes, and hospitals or employers hiring from India.
Each authority has its own address, form and rules on email versus courier. Send us the instruction page or email from your authority and we follow it exactly.
Documents you will need
The exact list depends on your council and the authority, but please keep these ready:
- Council registration certificate (and latest renewal certificate, if applicable)
- Degree or diploma certificate and final-year marks card
- Internship completion certificate (dentists and doctors)
- Passport (front and back pages) and Aadhaar or another photo ID
- Passport-size photograph
- The authority's form, address, email and your reference number (for example, your NDEB ID)
- Authorization letter allowing FACTS to follow up on your behalf (we send you the format)
How FACTS completes it in under 5 working days
- Free document check. Share your documents and the authority's instructions on WhatsApp or by email. We check your registration status and confirm the council, the route and your expected completion date.
- Application and payment. We prepare the council application and the authority's form, and you approve and pay the council fee and our service fee.
- Follow-up at the council. Our Bengaluru team submits the application and follows up with the council until the certificate is issued. If the council needs you for a video verification or a signature, we arrange it at a convenient time.
- Direct dispatch. The council sends the certificate directly to NDEB or your authority, by official email or in a sealed envelope by tracked international courier, depending on what the authority accepts.
- Proof and tracking. You receive the dispatch proof, email confirmation or courier tracking number, so you can follow it until it reaches the authority.
Common reasons for delay
- Lapsed registration. If your registration has not been renewed, the council cannot certify good standing until it is renewed.
- Name mismatch. A different spelling, initials or a surname change after marriage between your passport and registration certificate. Keep a marriage certificate or gazette notification ready.
- Sending it yourself. NDEB and most regulators reject a certificate forwarded by the applicant, even if it is genuine.
- Transcript from the college instead of the university. NDEB does not accept academic records issued by an affiliated college.
- Missing reference number. Documents arriving without your NDEB ID or application number can sit unmatched for weeks.
- Wrong email channel. A certificate emailed from a generic account is not accepted by NDEB. It must come from the council's official address.
